Mailbox configuration

Mailbox menu

Under Service Director -> Exchange Hosting -> Accounts, click on the number of mailboxes shown for the given company.

You'll be taken to the mailboxes that are provisioned for the company.

Click on the mailbox you want to manage. You'll be taken to the general tab, and will be able to navigate in the mailbox menu.

General

On the General tab, you can change the basic settings of the user: the display name, login name and other contact information.

You can also see the available space of the mailbox.

Add / Change Email addresses

Go to “Email addresses” tab. Type the new address and click “Save.”

You can also set the new address as primary or you can delete it. Note: you cannot delete the primary email address. First, you need to switch it to another address.

Forward

To set up a forwarding address for the mailbox, go to “Mail flow settings”, tick “Enable email forwarding” and choose from the dropdown. If you need to send forwarded messages to an external address, add that address as a contact, and then you’ll be able to choose it from the dropdown.

Permissions

You can set up “Full Access”, “Send on Behalf” and “Send as” permissions on their respective tabs. Difference between “Send on Behalf” and “Send as”: with “Send on Behalf”, the actual sender’s name will be visible in the sender field of the email (e.g. Test User 1 on behalf of Test User 2) – while with “Send as” only the address of the permission assignee is visible.

Password reset

You can set a new password for the user through the panel and send it to them via email.

Distribution group membership

To add the mailbox to a distribution group, select the group and click Save.

Auto-Reply (Out of Office)

You need to tick “Enabled” in order to see the settings.

To send auto-replies to external and internal senders, tick the “Send automatic reply messages to senders outside my organization”, and fill in both fields.

Journaling (Enterprise feature)

To keep a copy of every email sent and received by the given user in a separate mailbox (e.g. for legal reasons), you need to change the package template from Standard to Enterprise, then go to the Journaling tab.

Choose from the dropdown – if your Journaling mailbox is outside of your organization, create a contact, and then you’ll be able to choose it from the list.
